How Projects Flow from Brief to Sync

At Astronic Media, our sync work follows a flexible but structured flow. Each team member plays a role in keeping briefs organized, artist-ready, and client-satisfying. Whether we’re responding to a fast-turnaround ad request or building out long-term catalogue opportunities, our workflow stays consistent.

πŸͺœ The Typical Sync Workflow

1. Incoming Brief or Opportunity

  • Client, agency, or music supervisor sends a brief

  • Project is added to Monday.com and shared in Discord

  • Relevant team members are assigned (Creative, Ops, Music, etc.)

2. Brief Analysis & Strategy

  • Creative Director or Sync Curator reviews the tone, timing, and creative needs

  • Team discusses direction: pull from catalogue, request custom, or both

  • Notes and references are posted in Discord

3. Music Selection & Pitch Folder Curation

  • Music Department Manager and Sync Curators select tracks via DISCO

  • Tracks are tagged, trimmed, and arranged into pitch folders

  • Metadata and rights status are verified

  • Pitch folder is reviewed internally and shared with the client

4. Custom Track Creation (if applicable)

  • Brief is sent to in-house composers or external collaborators

  • Director of the Astronic Production Team oversees production

  • Ops Coordinator tracks progress and delivery deadlines

  • Final tracks are mixed, labeled, stemmed, and delivered via DISCO

5. Client Feedback & Revisions

  • Client may request alt versions, adjustments, or new options

  • Team revises and updates pitch folders or coordinates new productions

  • Ongoing communication managed by CEO / Client Lead

6. Sync Confirmation & Licensing

  • Once a track is selected, licensing terms are handled by the CEO and Licensing Coordinator

  • All necessary documents (cue sheets, invoices, contracts) are prepared

  • Assets (WAVs, stems, instrumentals) are finalized and delivered

7. Follow-Up & Archiving

  • Sync win is documented and celebrated πŸŽ‰

  • Project folder is archived in Google Drive

  • Tracks used are tagged accordingly for future reference

  • Team may debrief on what worked and what could be improved
